VuSpaces Photographer Privacy Policy
This privacy policy explains how VuSpaces uses personal information relating to photographers who apply to join, use or work through the VuSpaces photographer network.
1. Who is responsible for your information
VuSpaces is responsible for the personal information it collects and uses in connection with the photographer network. Until a separate legal entity is stated on this page, references to “VuSpaces”, “we”, “us” and “our” mean the operator of the VuSpaces service.
2. Information we collect
Depending on how you use the photographer network, we may collect:
- your name, trading name and contact details;
- your address, town or city, postcode or ZIP code and country;
- your approximate working location, latitude and longitude, and normal travel radius;
- your photography experience, equipment, portfolio information and example work;
- your preferred rate, VAT status, transport status and public-liability-insurance status;
- your photographer application, approval status and account information;
- assignment history, venue communications, notes and operational information;
- login, security, IP address, browser, device and technical information generated when you use the service; and
- communications you send to VuSpaces.
3. How we use your information
We use photographer information to:
- review and administer photographer applications;
- create and secure photographer accounts;
- identify photographers who are suitably located for venue assignments;
- offer, organise and administer assignments;
- allow venues and photographers to communicate where required for an assignment;
- manage quality, support, complaints and operational issues;
- protect VuSpaces, venues and users against fraud, misuse and security incidents;
- maintain business, tax, accounting and legal records where required; and
- improve the photographer network and the VuSpaces service.
4. Our lawful bases
Depending on the circumstances, we process personal information because it is necessary to take steps at your request before entering into an assignment or other contractual relationship, to perform our contractual arrangements, to comply with legal obligations, or because we have legitimate interests in operating and protecting the VuSpaces service and photographer network.
Where the law requires consent for a particular use, we will ask for consent separately and you may withdraw it as permitted by law.
5. Location information
Your photographer working location is used to calculate your approximate distance from potential venue assignments and to help match assignments geographically. It is not intended to be displayed publicly as your home or private address.
6. Sharing information with venues
Where you are being considered for, offered or assigned to a venue, we may share information reasonably needed to organise the work. This may include your name, business name, contact details, relevant experience and assignment information.
We may likewise provide you with venue contact information, access details and assignment information. You must use that information only for the authorised assignment or another expressly agreed purpose.
7. Service providers
We may use hosting, email, database, security, analytics, accounting and other service providers that process information on our behalf. We require service providers to handle personal information appropriately and only for the services they provide to us.
8. International transfers
Some service providers may process information outside the United Kingdom. Where required, VuSpaces will use appropriate safeguards for international transfers of personal information.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including account administration, assignment records, dispute handling, security, accounting and legal obligations.
Application or account information may be retained for a reasonable period after an application is declined or an account is closed where needed to maintain business records, prevent misuse, resolve disputes or comply with legal obligations.

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss. Passwords are stored using one-way password hashing rather than as readable passwords.
11. Your rights

Unless stated otherwise, assignment approval and photographer-account decisions are not intended to be made solely by automated processing with legal or similarly significant effects.

The photographer area may use cookies or similar technologies that are necessary for login sessions, security and core site functionality. Additional analytics or non-essential cookies should be described in the main VuSpaces cookie information where applicable.
14. Changes to this policy
We may update this policy from time to time. Material changes will be published on this page and, where appropriate, notified through the photographer account or by email.
